The Ideal Timeline: 8–10 Weeks
While some projects can be delivered faster, the best results are achieved with an 8–10 week planning window. This gives us the time needed to develop creative ideas, secure approvals, test thoroughly, and deliver a polished performance.
1. Initial Meeting – Shaping the Vision

2. Project Proposal – Turning Ideas into Reality

Next, we prepare a detailed proposal.

3. On-Site Survey – Preparing the Canvas

Every location is different, so a site survey is essential.
We assess:

Where appropriate, we also create a 3D map of the site to help design and simulate the show accurately.
4. Contract Signing – Confirming the Project

Once the scope and schedule are agreed, we issue formal contracts.

5. Animation & Soundtrack Meetings – Building the Story

6. Soundtrack Approval – Setting the Rhythm

With music agreed, we present a detailed storyboard.

8. Animation Presentation – Seeing the Show from the Crowd
At this stage, you’ll receive a detailed preview of your show from the audience’s perspective.
Using our simulation tools, we recreate the view from the event site so you can experience the scale, timing and flow exactly as your guests will. This gives you a realistic impression of how the drones will move, form shapes and interact with the music in the night sky.
9. Animation Approval – Ready for the Real World
Once final animation is approved, the digital design process is complete.
This allows us to move confidently into physical testing and flight preparation.
10. Test Flights – Proving Performance and Safety

Where appropriate, your show will be test-flown at an off-site, remote location ahead of the public performance.
This allows us to:
- Verify flight paths and timing
- Confirm system reliability
- Validate synchronisation with the soundtrack
- Assess overall performance quality
In some cases, depending on the project scope, location, and schedule, testing may be integrated into final preparations at the event site itself. Either way, our approach always prioritises safety, reliability, and show quality.

11. The Drone Display – The Main Event
